DESCRIPTION

Advantage FSE is seeking a detail-oriented and organized Administrative & Accounting Assistant to join our team. In this dual-role position, you will provide essential administrative support while also assisting in accounting functions, working closely with various teams across the company and contributing to the overall success of our organization.

Responsibilities

Accounting Support

  • Review and record financial documents such as invoices, receipts, journal entries, and payment records.
  • Perform accurate data entry into the accounting software (ERP system – Pylon) to maintain up-to-date financial records.
  • Assist with the preparation and processing of invoices, expense reports, and related payment documentation.
  • Support monthly reconciliations with customers and suppliers, as well as broader financial reporting activities.
  • Help monitor accounts receivable and payable to ensure timely invoicing, payments, and collections.
  • Collaborate with the finance team to support day-to-day operations and ensure proper filing and documentation of financial records.

Administrative Support

  • Providing general administrative support, including managing communication (via e-mail or call) and handling office correspondence.
  • Coordinating travel arrangements and managing expenses for employees.
  • Managing premises related matters.
  • Assisting in special projects and initiatives assigned by our Office Manager.

What do your qualifications look like?

  • Undergraduate university student or recent graduate in Business, Accounting, Finance, or a related field.
  • Previous experience in an administrative and/or accounting support role is an advantage.
  • Strong attention to detail and excellent organizational skills.
  • Proficiency in MS Office applications, including Word, Excel, and PowerPoint; familiarity with accounting software (e.g., Pylon) is a plus.
  • Excellent communication skills, both written and verbal, including fluency in English.
  • Ability to prioritize tasks, meet deadlines, and manage time effectively.
  • Strong interpersonal skills and the ability to work collaboratively in a team environment.
  • Discretion and professionalism when handling sensitive or confidential information.

Our Selection Process
